1.  The hiring department submits a copy of the position description to (LPS).  This description must be reviewed by the AUL or the DUL prior to submission to LPS.  The deadline for submission is noon on Tuesday in order to have the position posted in the University Job Postings the following week.  The deadline dates for other advertising sources i.e., journals newspapers, can be found in LPS.

2.  A recruitment plan, outlining advertisement locations, mailings, application deadline, and application schedule is devised by LPS and the hiring department.  A brief position description is prepared by LPS and reviewed by the hiring department.  LPS then begins advertisement.

3.  The position vacancy is advertised nationally, and active recruitment may extend for some time.  Positions are advertised until the application deadline is reached, or until there are enough qualified applicants.

4.  LPS will receive and acknowledge applications and resumes.  Supervisors may review applications in the LPS office during the process, or borrow them from LPS making certain that they are returned by the end of the working day.

5.  The hiring department, in consultation with LPS and the AUL or DUL, determines which applicants will be scheduled for interviews.  References may be checked by the hiring supervisor or LPS prior to writing the candidates to be interviewed, or they may be done at the conclusion of the interview.

6.  LPS schedules interviews, makes travel arrangements, sets the interview schedule, and notifies the interview participants.  A typical day-long interview includes time with LPS, the hiring department, staff in the department, a meeting with other professionals, lunch, and an appointment with the University Librarian or DUL.

7.  Written comments on each candidate are submitted to LPS by those involved in the interview process.  The selection is discussed with the department head, appropriate AUL, and the University Librarian and/or DUL.

8.  LPS extends an offer to the candidate and confirms salary, benefits, starting date of employment, discusses the amount of notice needed before assuming new position, housing and relocation information, and answers any other questions the successful candidate may have.

9.  LPS sends an appointment letter signed by the University Librarian or DUL to the successful candidate.  LPS also notifies the unsuccessful candidates.  Copies of the appointment letter are sent to the hiring department and DUL/AUL.  The candidate confirms his or her acceptance in writing.

10.  The hiring department may assist the candidate with any further questions relating to the position prior to his/her beginning work.

11.  A Personnel Action Form (PAF) [see Appendix] is initiated by LPS.

12.  On the starting date of employment, the new staff member is expected to visit LPS to complete necessary forms, obtain a temporary identification card, select payroll check mailing address (department, home, financial institution), receive orientation schedule, and obtain any additional information about benefits or other concerns.

13.  Questions pertaining to departmental expenses related to recruitment or individual expenses incurred by the candidate, should be referred to LPS.
